Who Can Proctor UAF Testing Services Exams?

UAF instructors decide if proctored exams are necessary for their courses, and Testing Services provides the following guidelines to help maintain the academic integrity of these exams. Before agreeing to serve as a proctor, please read these guidelines carefully. 

Exams should be administered in a recognized professional testing environment, such as a university or college testing center, academic support office, library, military education center, or similar institutional setting.

If the exam will not be administered in one of these professional settings, prior written approval from the course instructor is required.

Regardless of location, the proctor must be an impartial third party with no personal, academic, athletic, or employment relationship with the student. Proctors may not be family members, friends, roommates, teammates, coaches, co-workers, supervisors, or anyone with a vested interest in the student’s academic performance unless explicitly approved in advance by the instructor.

 

Proctor Requirements

  • Exam materials will only be sent to the approved proctor’s official institutional or business email address (personal email accounts such as Gmail, Yahoo, Hotmail, etc., will not be used).
  • Proctors must have access to:
    • A working computer with reliable internet access
    • A printer for printing exam materials (if required)
    • A scanner or secure method to return completed exams (if paper-based)
    • All equipment must be fully functional prior to the start of the exam.
  • Exams must be taken in a professional environment; private residences are not permitted without prior approval from a UAF instructor.
    • A professional testing environment must:
      • Be a quiet, distraction-free space (no interruptions from other individuals, phones, or pets).
      • Be located in a school, university, athletic department office, military education center, testing center, library, or other official business setting.
      • Prevent access to televisions, music, cell phones, smart watches, or other unauthorized electronic devices
      • Have a desk or table suitable for testing.
      • Ensure that no unauthorized individuals are present or able to observe the exam
      • The testing space must remain secure and distraction-free for the entire duration of the exam.
  • Proctors must actively monitor the student for the entire exam session.
    • The proctor must remain physically present in the room.
    • The student may not be left unattended at any time.
    • The proctor may not engage in activities that prevent proper monitoring (e.g., phone use, meetings, leaving the room).
    • If the proctor must step away for any reason, the exam must be paused and secured.

 

Proctor Responsibilities

  • Security of Exam Materials
    • All exam materials, passwords, and access instructions must be stored securely and kept confidential at all times.
    • Passwords must be entered by the proctor. Passwords may not be shared with the student under any circumstances.
    • Copying, photographing, scanning (except for authorized return), or otherwise reproducing exam materials in any format is strictly prohibited.
  • Student Identity Verification
    • The proctor must verify the student’s identity using a valid, government-issued photo ID prior to beginning the exam.
    • The name on the ID must match the name on the exam materials.
  • Proctors must strictly follow all exam instructions provided by the instructor or Testing Services, including:
    • The proctor must document the exam start and end time and ensure the student does not exceed the allotted time.
    • Approved or prohibited materials
    • Calculator or technology use
    • Collection and return of scratch paper
  • Testing Irregularities
    • If any exam procedures are compromised or an academic integrity concern arises:
    • Allow the student to complete the exam unless instructed otherwise.
    • Immediately report the incident to UAF Testing Services at 907-474-6036 or uaf-testing@alaska.edu.
    • After the exam session concludes, inform the student that an irregularity report has been submitted.
  • Return and Retention of Materials
    • Paper-based exams must be scanned and returned immediately upon completion, including all materials (exam booklet, cover sheet, scratch paper, notes, or authorized materials).
    • Original paper exam materials must be securely retained for 60 days in case of grade disputes or discrepancies.
    • After 60 days, all materials must be securely shredded.
